To supplement Prolog or Expedition, projects often utilize a document management system to scan, catalog and store electronic images of paper documents. These systems are very powerful, allow complex searching on key words, and can be used in conjunction with Prolog or Expedition (i.e. to link an image of a letter received in the mail to an RFI or Meeting Minutes log). Unfortunately, this type of system can be expensive to buy and time consuming to maintain. To solve this, a new capability has been developed ready to be rolled out for a project with this need.
Once set up, a project may choose to have a fully electronic document management system. Affordable to even small projects, everyone can take advantage of having every project correspondence at their finger tips. Project site can scan all the documents that come in (RFIs, FAXs, documents in electronic forms can be dragged and dropped.) The system then catalogues all the files, and presents the user with a customizable profile screen to fill out. Instead of giving a document an ambiguous name, now the user has more flexibility, by assigning a document certain labels to facilitate future electronic retrieval. The physical documents can be dropped into a box for off-site storage, as opposed to a filing cabinet, thereby cutting storage costs as well as the costs of a file person.
Project disputes can be easily resolved by retrieving documents specifically referring to the issue at hand.
